Start with everyday support
Ask how employees request help, which devices and applications are covered, and when onsite visits are available. Confirm routine support hours, the process for reporting an emergency, and any after-hours charges. A response target tells you when someone should start addressing an issue; it is different from a promise to resolve it within that time.
Look beyond the help desk
- Maintenance: Who manages software updates, checks failed updates, and plans replacements for aging equipment?
- Security: Which account and device protections are included, and who follows up on alerts?
- Backups: What is protected, how long are copies retained, and when was recovery last tested?
- Documentation: Who maintains the device inventory, network information, and administrative access?
- Planning: How will you review recurring issues, upcoming costs, and changes in your business?
Get the boundaries in writing
Ask whether new equipment, software subscriptions, office moves, major upgrades, and vendor coordination are included or quoted separately. With per-user pricing, confirm which users count and how additions or departures affect billing. Two similar monthly totals can cover very different responsibilities.
Bring a short list to the conversation
Write down your employee count, locations, important applications, and the three IT problems that interrupt work most often. That gives a provider a useful starting point for defining the right scope.
