Choosing an IT provider is a business decision. You need a team that understands the work your employees do and can explain how it will support that work. Use the same questions with each provider so the proposals are easier to compare.
Confirm coverage for your actual locations
Give the provider your office locations and ask how onsite visits are scheduled. A broad service-area statement does not tell you the travel arrangements, availability, or cost for a particular office. If you have several locations, ask whether they are all covered by the same agreement.
Ask what happens on an ordinary day—and during an emergency
Find out how employees open requests, who prioritizes them, and how you receive updates. Ask the provider to explain the difference between routine business-hours support and emergency availability. Confirm how to report an urgent issue after hours and what the agreement says about response expectations.
Compare the proposals line by line
- Users, devices, locations, and applications included.
- Onsite visits, routine support, and emergency support.
- Maintenance, security responsibilities, and backup testing.
- Projects, licensing, equipment, and other separately billed work.
- Agreement length, cancellation terms, and handover arrangements.
A useful proposal makes responsibilities and exclusions understandable. Ask for clarification wherever you would otherwise have to assume something is included.
Plan the transition before signing
Ask how the new provider will obtain documentation and approved access, coordinate with your existing provider, and avoid interrupting daily work. Confirm that your business retains ownership of its domain, subscriptions, and data, and knows how authorized administrators can access them.
